When spreadsheets stop being enough

A spreadsheet may work well while one person owns a process. Problems appear when several people need different views, statuses become inconsistent or key information lives in inboxes. The aim of a business system is to make the next action clear and keep the relevant information together.

What the system can organise

What makes a dashboard useful?

Start with a decision, not a chart. Who needs to act, what information changes that decision, and how quickly must it be updated? A view of overdue work can be more useful than a page of totals if the immediate problem is missed follow-up.

What to bring to the first conversation

Share a description of the workflow, the tools currently involved and an example of a handover that causes problems. Use representative or anonymised records while discussing the design. Agree which information needs to move, who uses it and what a correct result looks like.

Build or connect?

A new application is not always required. Some workflows can be improved by connecting the tools already in use. See automation and applied AI for handovers and document work, or custom software when a dedicated application is needed.
